Commissioning photography – Tip 08 – Planning your project, to ensure success!

When you are looking around for a photographer you will soon discover that there are a lot to select from, commissioning an inexperienced photographer could end up costing you money!

The guidelines below will hopefully help you to ask the right questions and make an informed choice of photographer.

Many clients are surprised at how much effort goes into quality professional photography and accordingly are sometimes initially concerned about how quickly a shoot is progressing.

In IOP’s experience any early reservations are always dispelled once clients start to view results, see the quality of the resulting images and begin to understand why so much time and effort is worthwhile. It truly is a case of the more time and effort put into a shoot is paid back in the end product.

However, a successful photographic shoot requires a team effort, below you will find some tips on what you the client can do in advance to ensure you get the most out of our time on the shoot day.

Exteriors:If you require exterior photographs, please plan your deadlines to allow for possible sustained poor weather. This increases the likelihood of the photographer being able to shoot under optimum lighting conditions.

Site preparation: Ensure as much as is practical that machinery, or areas to be photographed are tidy, and remove anything in the subject area and background that you would prefer not to show. Any products to be photographed need to be perfect specimens.

This will help to avoid time-expensive delays waiting for areas to be cleaned and ensure that photography time on site is as efficient as possible.

Staff Availability: When on site IOP aim to be as independent as possible, however it is vital that you ensure that any staff with essential knowledge of the processes to be photographed will definitely be present and available on the shoot-date.

This will avoid any tensions if the photographer requires input or co-operation input from busy staff. Advanced planning by you and your staff will assist the photographer to give you the best result possible capturing exactly what to need to show and will help to keep costs down.

Deadlines: In a similar vein, ensure you let your photographer know as early as possible about any deadlines you need to meet as well as any logistical time restrictions regarding the optimum time any particular process or person is best photographed.

Commissioning photography Tip 07 – Insurance protecting all parties!

The guidelines below will hopefully help you to ask the right questions and make an informed choice of photographer.

Most of us know, that it is a legal requirement, under UK law, for anyone in business to take out Public Liability Insurance (PLI). However, don’t assume all photographers will comply! If you have doubts, ask for proof!

In addition to the compulsory PLI, it is wise to ensure that your chosen photographer, also has ‘Professional Indemnity Insurance’ (PLI). So, what is the difference between PLI and PLIIn, the event of a dispute regarding late or non-delivery etc by the photographer PLI provides some financial compensation.

A prime example would be if a client had booked expensive exhibition space was unable to reap the maximum benefits due to the photographer failing to deliver the images in time for the exhibition panels or brochures to be delivered.

In this instance, although it won’t undo any embarrassment you experienced at the time, at least you will be able to claim for the associated costs of mounting an unsuccessful exhibition and out-of-pocket expenses.

When you are looking around for a PR, ProductCommercial, Industrial or Architectural photographer you will soon discover that there are a lot to select from, commissioning an inexperienced photographer could end up costing you money.

The guidelines below will help you to ask the right questions and make the most appropriate choice.

Assuming you have found a photographer suitably experienced in your industry. The next most important criteria is that they are professional in the way they conduct themselves. It isn’t simply a matter of ‘turning up on time’, confidentiality regarding production processes and future business expansion plans are hugely important.

Commissioning photography Tip 05 – Will they stick to the quote?

No matter what you are buying, some businesses might be tempted to give you a very attractive low quote, and then load the invoice with ‘extras’ once you are half way through a project and therefore committed.

It is fundamentally professional and essential to supply a written quote before work starts. This should clearly outline exactly what you will get based on the information you the client has provided.

If during the course of a project additional work is requested, we at Inside Out Photography will inform you of any further costs before proceeding.

Once again if the price seems ‘too good to be true’ then your instincts are likely to be accurate.

Whether you require images of your new office building, your workforce or a new product range, the images you use need to capture attention almost instantly.

Naturally when it comes to choice of equipment photographers have personal preferences. However, it is reasonable to expect a certain standard of equipment.

Although it is true that images purely for web-use do not need to be high-resolution, they have to stand out, many subjects require sophisticated lighting techniques using a myriad of light shaping accessories that will help to make your manufacturing line and products come alive.

It is not acceptable to turn up to a shoot at a high-tech factory with a hand-held camera with a single flash, it will not help to represent your company at its best.

When you are looking around for a photographer you will soon discover that there are a lot of photographers to select from, all with differing levels of expertise in different photographic disciplines. Commissioning a photographer that lacks specialist experience could end up costing you money.

It obviously makes sense to select a photographer with proven knowledge of your particular area of business. If they are experienced they should already be aware of your particular needs anticipate your questions and provide examples of similar commissions before they are asked.

If someone tells you “we do everything” it’s probably true! With the word “poorly” added!!!

Anyone earning his or her living from acting as a photographer is by definition, a professional! Unfortunately, it is all too easy for someone with no professional experience or qualifications, to trade as a professional photographer.

A cheaper quote for your photography project may seem appealing, but is it worth the risk, choosing the wrong photographer could end up costing you a lot more!

One guide is whether a photographer holds any professional qualifications and is a member of a recognised professional body. At the bottom of this page, I have listed the two main UK bodies that assess standards and grade professional membership.
